SHEET A-001 · THE FIRM

Three people who think in jobs, one office in the West Bottoms.

Ironbark Accounting keeps the books, runs the payroll and plans the tax for contractors from 1520 Genessee St, Suite 300, Kansas City, MO 64102. Job costing, WIP and certified payroll are the whole practice, not a side line.

SINCE 2012

Started by someone who ran a contractor's office.

Colleen Brandt spent eleven years running the office of a mechanical subcontractor: pay apps on the 25th, retainage nobody tracked, a WIP schedule built the week before the surety meeting. She opened Ironbark in 2012 to do that work properly for other contractors, every month instead of every panic.

Andre Ellison joined from a general contractor's project accounting team to build the WIP schedules, and Teresa Tran took over crew and certified payroll on both sides of State Line. The founding story and dates are illustrative for this concept site.

Andre Ellison

Andre builds every WIP schedule and fade report the firm sends out, and the bank and surety packages that ride on them. He came from a general contractor's project accounting team and still reads a schedule of values for fun.

Teresa Tran

Teresa runs weekly crew payroll for contractors on both sides of State Line: certified payroll, Missouri prevailing wage records, union fringe reports and the Kansas City earnings tax. Her desk opens at 6:30 on Mondays for timecards.

Mobilize

Crews start, and so does the payroll clock.

Timecards come in Monday and payroll runs that week, withheld for the right state and for the Kansas City earnings tax when the work is inside city limits. On a public job the certified payroll goes out within seven days of payday, ready for your signature. Crew and certified payroll.

SHEET S-301 · BUILD

Build

Every month, a WIP that shows the fade.

Pay apps go out against the schedule of values, retainage is tracked both ways and the books close by the 15th. Then the WIP: percent complete, over and under billings and profit fade on every open job, in the format your surety and bank ask for. WIP schedules and bonding.

SHEET A-901 · CLOSE OUT

Close out

Retainage in, waivers signed, profit known.

The punch list is done, but the money is not until retainage is billed and collected and every lien waiver is logged. We chase the paperwork, close the job in the books and put its final margin next to the estimate, so the next bid starts from what really happened. How subs track retainage.
